Purpose of role

Working as the Executive Assistant to OCO’s Senior Management Team (SMT), the successful candidate will provide support to SMT with organisation, scheduling, correspondence, travel requirements and meetings.

 

Key responsibilities of the role

  • Management of SMT’s diaries and schedules
  • Communicate with key clients and other stakeholders in relation to meetings and visits
  • Organise and schedule meetings for SMT
  • Prepare meeting agendas, perform research for meetings, take minutes during meetings and follow up on actions from meetings
  • Communicate with Board Members/Shareholders, schedule board meetings, and arrange meeting agendas
  • Book business travel arrangements, including flights, transportation, and accommodation for SMT and other staff members
  • Develop itineraries and organise hospitality for client visits. Ensure visitors are provided with information on the company as appropriate
  • Prepare monthly expense claims
  • Manage logistics, agendas and itineraries for Corporate, divisional or market meetings and events
  • Produce client presentations and summary project outputs to high standard and in line with corporate look
  • Administrative duties to include management of SMTs correspondence and support administrative requirements for major tender opportunities
  • Responsibility for office supplies and facilities and managing supplier relationships
  • Update relevant corporate policies as and when required
  • Produce and coordinate corporate communications
  • Manage the maintenance and bookings of London Property
  • Assist Finance team with administrative duties
  • Any other duties as required

Requirements:

  • At least 3 year’s previous experience providing full EA support to Director or SMT.
  • Experience of minute taking and participating in meetings
  • Experience in diary management
  • Excellent written and spoken English
  • Excellent prioritisation, time management and organisation skills
  • Demonstrable experience in building and maintaining relationships with Senior executives, clients and suppliers
  • Ability to work under pressure and to agreed deadlines
  • Ability to switch quickly between tasks and to work on own initiative
  • Self-motivated and dynamic
  • Strong research and attention to detail skills
  • Excellent working knowledge in Microsoft office programs, particularly Word, PowerPoint and Excel.
  • Previous experience in handling confidential and commercially sensitive information
  • Excellent interpersonal skills
  • The right to work in the UK
